Your fleet’s data is yours.
This policy describes what the Fleet Brainz platform collects, why, who can see it and how it is protected.
Who we are
Fleet Brainz is provided from Karachi, Pakistan. Your company decides which vehicles, drivers and users it adds to the platform; we process that data to run the service for your company.
What we collect
Vehicle positions, speed, ignition and fuel readings from trackers fitted to your vehicles; the names, contact details, CNIC and licence details of drivers your company enters; documents you upload; and the account details of your users. Attendance photographs are collected only where your company enables driver attendance checks.
The mobile app
The Fleet Brainz app for Android collects, in addition: for drivers on duty who have agreed to it, the phone’s location, including in the background while the app is closed, so a truck stays on the map if its tracker fails — nothing is collected off duty; live selfies taken with the front camera in answer to attendance checks, with the time and the phone’s location; photographs the driver takes of a problem or of renewed documents; a push notification token; and the phone model, to list the devices signed in to an account. A driver can withdraw consent to selfies and location at any time in the app, under Me.
Why we collect it
To run the fleet management service you subscribe to: showing vehicles on a map, detecting fuel events, managing trips, drivers, documents and maintenance, checking driver attendance, and sending the alerts and reports your company configures. We do not use this data for advertising.
Who can see it
Your company’s own users, according to the roles you assign. Fleet Brainz staff access customer data only to provide support, and every such access is logged. Your data is never shared with other customers or sold.
Service providers
We use a small number of providers to run the service, each only for its stated purpose: Amazon Web Services (servers and file storage), MongoDB Atlas (database), Google Firebase (delivering push notifications), and, when a user asks the AI assistant a question, Groq or OpenAI (to understand the question; fleet records needed for the answer are sent with it). When a user asks for a reply to be read aloud, the reply’s text is sent to ElevenLabs or OpenAI to turn it into speech. Map images come from OpenStreetMap and Google Maps.
How long we keep it
Raw position data expires after its retention window; compressed trip routes and summaries are kept for one year. Attendance selfies are deleted after the period your company sets (90 days unless changed, never more than one year). Documents and records are kept while your account is active and for a period afterwards for accounting purposes. You may ask for your data to be exported or deleted.
How it is protected
Data is encrypted in transit and at rest. CNIC and licence numbers are encrypted at field level and masked in lists. Documents and photographs are stored privately and served through short-lived links. Access is protected by role-based permissions, two-factor authentication for administrators, and audit logs. A lost phone can be signed out by the office.
Drivers
The app asks drivers for their consent before collecting selfies or location, and explains what is collected and why. Your company remains responsible for informing its drivers that vehicles are tracked and for obtaining any further consent the law requires.
Deleting an account
Anyone with a Fleet Brainz account can delete it in the app, under Settings → Delete my account, and a company administrator can delete a user in Users & Roles. Either way the account’s personal data is deleted at once. Someone who cannot sign in may ask us at [email protected]; we confirm with them and delete within 30 days. Records of work done for a company stay with that company, without the person’s name.
